Reports to: Superintendent, Director of Fiscal Services Building: Administration Building Duration: 12 month/fiscal year appointment, full timeEssential Job Duties Serves as the front desk representative in the Administration Office, greets customers, answers phones and completes receptionist duties.Manages the Superintendents schedule, phone inquiries, creates documents, schedules meetings, and provides administrative assistance.Creates monthly Board Meeting packets; collating and collection of documents and distribution of packet in a timely manner.Transcribes Board Meeting minutes in an efficient manner using appropriate grammar and spelling in developing all correspondence and documents.Serves as back up support for Aesop and VeriTime, providing assistance to employees and the payroll office.Provides training to new employees on the use of VeriTime and answers questions and troubleshoots issues.Assists the HR Director with the management of the Safe Schools Training.Creates employee badges, with required bar codes for time keeping and manages the door system (Continuum).Process incoming and outgoing mail; sorts mail; documents receipt of mail items, delivers outgoing to the post office.Assists in the development and design of newsletters, manuals and reports.Provides general clerical support and services to Administration staff.Manages calendars for board room and district vehicles reservations.Makes services calls when necessary and ensuring resolution is made to issues with equipment.Manage the district contract with cell phone provider.Develops contract documents ensuring compliance with District policies and procedures.Plan and direct Kindergarten enrollment event, ensuring materials and information are updated and provide accurate information to parents.Processes enrollment paperwork for new students, to include requesting, receiving and verifying records and files for new students from previous school district. Must communicate with building secretaries/principals/counselors/special education department to ensure general student information is completed. Enter all incoming and outgoing cumulative records into the Infinite Campus database. As well as maintaining an Excel spreadsheet for these records. Knowledge, Skills and Abilities Ability to perform a variety of clerical and secretarial tasks with accuracy and speed.Advanced skill and ability in using effective grammar and spelling in developing business correspondence and documents.Understands and carries out oral and written directions.Ability to greet public and staff in a professional manner.Ability to work with a team, handle stressful situation and effectively manage time and responsibilities.Proficient operation of standard modern office equipment, including computer terminal.Maintain records and prepare accurate reports.Skill in composing correspondence in response to routine inquiries.Communicate effectively both orally and in writing with colleagues and outside vendors/contractors.Maintain cooperative working relationships with those contacted in the course of work.Ability to maintain confidentiality of employment and student matters.Work efficiently and with service-oriented attitude under stressful situations with constant interruptions.Ability to change and adapts to office procedures and details with the needs of the office environment. Required QualificationsAny combination of training, education and experience equivalent to graduation from high school.Successful experience working in an office environment performing similar work.Successful experience and efficiency working with Microsoft Office software.Advanced skill in operation of computers developing documents.General knowledge of construction technical, Auto CADD is helpful.Equipment UsedComputer, calculator, copier, telephone/voice mail, fax.Physical and Mental Demands and Work HazardsRegularly works inside an
