First Interstate BancSystem Administrative Assistant II - Wealth Management in Billings, Montana

Provides support to the First Interstate Asset Management Team. This individual will provide assistance to the Portfolio Managers as they manage the investments in accounts they oversee. Administrative Support will consist of preparation of materials for client presentations, assistance with data gathering, other administrative duties will include scanning & filing, mail receiving and distribution, calendar and meeting scheduling and other admin related duties. Other duties could potentially include trading designated securities (mutual funds, bonds, individual equities) as direct by the portfolio managers. This trading is completed through an electronic trading system, and by direct purchases/sales.
ESSENTIAL DUTIES and RESPONSIBILITIES include the following:
Control, plan, and implement standardized practices related to daily responsibilities.
Stay current with all systems being utilized by the Asset Management Team.
Provide support for any department database updating, including customized report generation and maintenance of these reports. These tasks would focus around utilization of the Trust Accounting System and the data within.
Provide clerical and organizational assistance of department filing, scanning, typing, and mail distribution.
Handling and retention of documents related to client accounts.
Assistance with execution of asset trading for FIWM.
Assistance with asset settlement issues, when applicable.
Stay current with all electronic trading system operations, becoming our "in house" expert regarding utilization of this system.
Other duties as may be assigned.

OTHER SKILLS AND ABILITIES
Ability to communicate effectively. Ability to work well with co-workers. Ability to properly prioritize workload and remain adaptable under pressure. Computer skills essential. Computer experience with Internet, MS Word & MS Excel required. Knowledge of additional applications preferred.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) and three years related experience and/or training in Trust, Brokerage, Banking, or Finance; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to read procedure manuals. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to handle customer inquiries, concerns and complaints in a polite and effective manner. Ability to effectively communicate with supervisor.
Ability to add, subtract, multiply, and divide. Ability to compute ratio, and percent and to draw and interpret graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to acquire knowledge of investments, securities and/or trust laws and settlement processes, procedures and policies and the ability to comply with such laws, procedures and policies.
