The Facilities Specialist will provide project management and support for proper operations and maintenance of City facilities and grounds. Area of work includes new construction, remodel, repair, and maintenance for city buildings and sites; and to act as a project manager on assigned projects. The successful applicant will perform a full range of duties as assigned, working both collaboratively and independently and exercising judgement and initiative.

Work Schedule:Monday through Friday, 8:00 a.m. – 5:00 p.m. These hours may vary based on operational needs.

Compensation: $30.61 - $35.41, Salary at hiring will be dependent upon the applicant’s education and experience (the salary range shown reflects steps 1 and 4 of a 7-step pay scale). Employees advance to the next step on their anniversary. Step increases are awarded annually until the highest step is achieved, additional longevity pay is earned based on years of service and COLA increases are negotiated each July. Exceptional benefits are provided including health/life insurance, retirement plan with generous employer contributions, sick leave, 10 paid holidays per year, 3 personal days per year and 3 weeks’ vacation leave per year. Vacation accruals begin immediately, increase with longevity and are available to use after your first 180 days on the job.

Required Qualifications & Skills:

Applicant must meetoneof the following:

• Bachelor’s degree in engineering, construction, architecture, or a related field and two or more years of experience in facility maintenance, design, construction, project management, budgeting, estimating, bidding, permitting, contracts, and reporting.

• A two-year degree in a related field with four or more years of experience in facility maintenance, design, construction, project management, budgeting, estimating, bidding, permitting, contracts, and reporting.

• A combination of six years education and experience in facility maintenance, design, construction, project management, budgeting, estimating, bidding, permitting, contracts, and reporting.

Applicant must meetallthe following:

• Minimum one year of supervisory experience.

• Skills in plan reading, drafting software, Word, Excel, PDFs, facilities management software, and operating mobile devices are required.

• Possession of a valid Montana driver’s license or must be obtained within thirty (30) days of employment.

Preferred Qualifications & Skills:

• Experience with city government and knowledge of city operations.

Writing Assignment

Task 1:

You come into work on a Monday and have the following issues that need to be addressed:

  1. There was hail damage over the weekend that needs to be inspected and cataloged.

  2. The water heater at fire station #2 is non-operational.

  3. You are 75% complete with a capital improvement plan presentation for Fire Department Administration that is due to your supervisor tomorrow.

  4. Your direct supervisor is out of the office and there is an argument between two custodial employees, prompting one to leave early without completing their scope of work for the day.

Your task is to write a narrative outlining in which order you will deal with the above issues and explain your rationale for prioritization.

Task 2:

You manage a new facility that is nearing the end of the 1-year warranty period. There are multiple issues and outstanding punch list items that need to be resolved. The architect is no longer providing post-construction services. How would you proceed and provide resolution?

Answer should be 200-400 words and describe all actions the facilities division should take to rectify the issues.

Task 3:

The Facilities Division is building a new wash bay facility at the Operations Center, which you are tasked with project managing.

Provide a one-page outline describing the project phases and how you would sequence tasks to be completed. This outline should include pre-design through warranty phase and be detailed enough that it could be presented to City Administration.

Task 4:

You are managing a roofing project with a contract amount of $400,000. In the first pay app, the contractor has completed 12% of the work. Please complete the following calculations to determine the amount due the contractor for this first check.
