Position General Responsibilities:
As an Account Administrator, you will be responsible for general administrative and operational tasks of Stockman Wealth Management. This will primarily consist of clerical functions, client service, correspondence mailing and account management.
Education, Experience and Certification Requirements

High School diploma or GED
1 or 2 years related experience and/or training
Must be fluent in using MS Word, Excel and Outlook
Must be able to prioritize multiple tasks
College Degree or pursuant of.
Knowledge of investment industry and/or experience helpful but not required
Series 65 license

Dimension of Job:
The main responsibility for this role is the general administrative and operational support for the Stockman Wealth Management team. These include but are not limited to typing, Excel spreadsheets creation/management, scanning, and filing. This role will also require a thorough knowledge of customer relationship management. You will function in a customer service role providing first class service to current and prospective clients. To accomplish this you will be working closely with the entire Stockman Wealth Team.
Position Specific Responsibilities, Duties and Competencies:
Answering the telephone in a professional and courteous manner, helping clients with inquires, disseminating calls as necessary and taking messages when needed. This position will demand a great deal of time on the telephone
Assist in new account paperwork preparation.
Processing daily mail, including bulk mailings to clients and prospects
Typing of letters and other correspondence
Assist in customer relationship management software customization/usage
Finding new efficiencies for all levels of operation through all technologies
Assist in overall organizing and maintaining files and filing systems (paper and electronic)
Assist Portfolio Managers with Account Relationships (Institutional and Individual):
Special projects regarding the daily account management in conjunction with Portfolio Managers:
Client relations activities including outgoing phone calls and annual account review meeting prep work
Help prepare account reports and presentations to existing customers and prospective customers when requested
Assist the new account process
Assist in marketing projects, which may include materials development and editing, mailings, follow-up phone calls/letters/emails, travel and meeting arrangements
Assist in Financial Planning meeting preparation
Any other projects as assigned by the team
Promote the improvement of Stockman Wealth Management through quality customer service, professionalism in conduct and diligent work ethic
Greet all customers pleasantly and make them feel welcome and comfortable.
Effectively handle customer questions and problems
Represent Stockman in community activities as agreed to with manager

Maintain a working knowledge of Stockman Wealth Management’s written Polices and Procedures and Code of Ethics.
Maintain a working knowledge of federal regulations that apply to and concern this position’s area of responsibility, including the Investment Advisers Act of 1940, the Securities Act of 1933, Securities Exchange Act of 1934, the Bank Secrecy Act, OFAC, USA Patriot Act and various other Federal and State regulations as they apply.
