Brief Position Overview
Provide high-level support for a large or multi-functional department/work unit, including sub-units, such as departments. This is done by providing administrative and program support to a diverse group of internal and external staff members and constituents. This position oversees a range of budgets that are reconciled on a day-to-day basis by administrative and Fiscal Shared Services staff. The position requires preparation and analysis of complex reports, conducting research, following up on unique information requests, and making complex departmental decisions, in collaboration with the School’s leadership team.

We are looking for an enthusiastic, passionate, motivated, friendly and adaptable person to join our team as the Business Operations Manager for the School of Film & Photography. The Business Operations Manager provides high-level administrative and management support to the operation of the School. This includes serving as the executive assistant for the Director. This position liaises with MSU’s Fiscal Shared Services team which provides accounting and financial management services to schools and units of the College of Arts & Architecture. This position also assists with the coordination of events, supervises staff in the office and administers the day-to-day operations of the School and its administrative office.
Duties and Responsibilities
Works closely with the Director to facilitate overall operations. * Provides departmental and program data and implements decisions. * Researches and prepares data on budgetary items in a timely manner. * In coordination with the Fiscal Shared Services team, manages many fiscal and budgeting functions for the School. * Prepares budgets for all events, including conferences and student field trips. * Plans for events, conferences, and lectures, including securing facilities, preparing schedules, and arranging for food, lodging and transportation, as appropriate. * Assumes responsibility for accounting needs related to School events, guest artist visits, concerts, performances, tours, and camps. * Serves as the first contact for hiring and payroll needs in coordination with University Human Resources ( UHR ), the unit’s HR Business Partner, and the Office of the Dean. * Creates and processes various types of appointments for faculty, staff and students. * Conducts pre-payroll audits, reconciles payroll, and submits Electronic Personnel Action Forms (EPAFs). * Oversees daily functions and services of the respective School. Provides support when needed for curriculum assessment activities and for retention, promotion and tenure ( RPT ) processes. * Supervises the School’s student employees. * Serves as the Acting Building Manager when Building Manager is not available. * Processes all building key requests. * Assists Director with Equipment Fee and Computer Fee Allocations ( EFAC , CFAC ), student fees and other special requests by the University or College. * Undertakes other duties as assigned.
Required Qualifications – Experience, Education, Knowledge & Skills
Progressively responsible customer service and high-quality administrative work experience in a busy office environment. # Demonstrated experience managing fiscal and budget records, generating reports, and communicating complex information effectively to various constituents (student, staff, faculty, and administrators). # Demonstrated experience organizing and managing events. # Demonstrated ability to prioritize multiple work assignments, to meet deadlines and to provide information in a timely manner, and to exercise adaptability to changing priorities and circumstances. # Demonstrated experience using personal computers and various software such as word processing, spreadsheets, email, and Microsoft Office software.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Previous experience working in an academic department in a higher education setting. # Demonstrated supervisory experience. # Demonstrated familiarity with Banner and other databases and software utilized by the university.
