POSITION DESCRIPTION POSITION SUMMARY Responsible for assuring that the daily office activities are coordinated. Responsible for planning and coordinating all clerical and administrative office activities. May include any of the following: Telephone systems, and maintenance, physican schedules office forms and supples, computer issues. This will vary between clinics. REQUIREMENTS EDUCATION Required: High School Diploma or Equivalent Preferred: Two years of college or associates degree in health or business administration. Courses in medical terminology LICENSURE and CERTIFICATION Required: Preferred: EXPERIENCE Required: Computer ability Preferred: Previous experience in staff coordination or supervision Knowledge of electronic health record operating systems. ESSENTIAL FUNCTIONS 20% Time spent- Provides day-to-day clerical coordination and resourse help to clerical staff inorder to facilitate patient flow through the clinic. 20% Time spent-Coordinates clinic receptionists, switchboard operators and medical records staff, including staff scheduling for each department, ensuring that clinic is staffed appropriately. Coordination assignment will vary among clinics depending on unique clinic needs. 10% Time spent- Helps staff establish deadlines for work assignments and completion as well as monitors work status and progress. 10% Time Spent- Identifies, analyzes and resolves clinic staff workflow problems. 10% Time Spent- Assists in the recruiting, hiring, orientation, development, and evaluation of clerical staff. 10% Time Spent- Develops clerical guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. 10% Time Spent- Ensures offices are opened and closed according to procedures. Participates in professional development actvites. Coordinates departmental orientation for new front office emplyees. Ensures that patients are treated courteously by office staff and that other visitors are screened and properly directed. Works with other adminstrative staff to ensure work is coordinated and high qualiity patient care is provided along with the strictest confidentiality. Provides core staffing for medcal records or reception or switchboard as designated by clinic mangager. Assignments may vary according to clinic needs. 10% Time Spent- Other duties assigned
