General Statement

Office manager for the football department fulfilling administrative duties, assisting the coaching staff with daily football office operations, and providing building management support.

Duties and Responsibilities

  • Serve as first point of contact person for the Bobcat Athletic Complex and coaching staff

  • Assist walk-in visitors, fans, boosters, players, former players & families directing them to appropriate information & staff

  • Field and screen all phone calls, forwarding the caller to the appropriate coach

  • Football Budget Tracker: in conjunction with the Head Football Coach, manage aspects of football operations budget

  • Campus Liaison: serve as point of contact for Sports Facilities, Residence Life, Dining Services and University Printing.

  • Manage the day to day operation of the Football offices to include equipment maintenance, inventory and office supplies. Communicate facility maintenance issues with Sports Facilities.

  • Prepares the preliminary paperwork for coaches travel – itineraries & advances – working with the coaches to collect original receipts and compile appropriate documents for reimbursement

  • Chrome River (Expense management System) – Expense Reports, P Card management

  • Process payable information in collaboration with the Athletics Business Office and Fiscal Shared Services

  • Assist the Director of On-Campus Recruiting with administration of coaches tickets & Sideline Passes.

  • Assist the Director of On-Campus Recruiting with current student-athletes’ parent tickets and other necessary communication between the football staff and player parents.

  • Assist the Director of On-Campus Recruiting with on-campus visit appointments for recruits, preparing itineraries, name tags and other documents such as recruiting host forms and preparing paperwork for recruiting advances

  • Booster Liaison: act as football point of contact to the QB Club, Bobcat Club staff and MSU Alumni Association and coordinate public events held at the Bobcat Athletic Complex

  • Manage football staff calendars and perform other duties as assigned by the Head Football Coach

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Administrative work experience with an emphasis on providing exceptional customer service in an office setting or an equivalent combination of relevant and/or experience.

  • Proficient computer skills, including use of word processing, spreadsheet, database, and email software (Microsoft Office preferred)

  • Demonstrated skill organizing and prioritizing large volumes of work with a high degree of accuracy and confidentiality; paying close attention to detail; meeting strict deadline; and adapting to changing priorities while maintaining a positive, effective, and professional approach.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Prior administrative experience in a University (or similar) environment

  • Experience using relational database systems such as Chrome River and Banner

  • Knowledge of NCAA Rules and Regulations

  • Be able to learn and use institutional software systems.
