General Statement

Residence Life manages 11 residence hall communities that are the home of up to 5000 residents while they attend MSU. All of the assignments, changes and paperwork processes are made centrally through the Residence Life Office and these are made through a hand-assignment process as well as using automated software to assign students.

Duties and Responsibilities

Reporting to the Associate Director, the Housing Assignments Coordinator (Program Coordinator II) performs a variety of administrative and supervisory duties in support of the department and the students.

  • Front line customer service agent for the department, called on to answer a variety of housing questions and concerns along with managing customer concerns.

  • Manages and maintains the Residence Life Hall Assignments administrative process. This can be upwards of 5000 assignments per year.

  • Through the housing software system, receives and reviews all applications.

  • Responsibly manage both the hand-assignment and automated assignment processes involved to finalize room assignments.

  • Ensures proper room and roommate notification is sent.

  • Coordinates the room assignment change process.

  • Ensures compliance with contracts and policies.

  • Applies proper charges and applicable credits in student financial accounts.

  • Researches and suggests new strategies for and use of the housing software.

  • Stays current with housing trends in order to assist with meeting long term and short term occupancy and retention goals.

  • Oversees and manages several department programs and administrative processes: suspensions, Zap/Bill payment processes, and accommodation housing.

  • Actively participates as a member of the team while performing other duties in support of the department’s mission.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative experience in a busy office setting successfully managing multiple priorities or an equivalent combination of relevant education and experience.

  • Proficient experience using computers and various software packages.

  • Customer service experience dealing effectively and diplomatically with a variety of people that may include handling difficult customer service situations.

  • Bachelor’s Degree

  • Knowledge of specialized software used in student housing.

  • Demonstrated skills managing through stressful situations.

  • Leadership/Supervisory experience coordinating and directing the work of others.

Position Special Requirements/Additional Information

Will occasionally work evenings, weekends, long hours, and holidays as needed and consecutive days without breaks during peak times.
