General Statement

University Student Housing (https://www.montana.edu/reslife/) manages eleven residence hall communities that are the home of up to 4700 students while they attend MSU . There are associated break housing and summer housing programs that are managed by the Break/Summer Housing Coordinator throughout the year.

Duties and Responsibilities

Reporting to the Associate Director-University Student Housing, the Break/Summer Housing Coordinator is responsible for actively managing the Break Housing and Summer Housing Operation programs’ administrative processes and associated staff. This position will also assist in reviewing and verifying housing application eligibility.

  • Steers and drives the direction of preparations, execution, and wrap-up/transitions for both programs

  • Manages the administrative processes and occupancy for both programs (sample of the wide range of duties: room assignments to verifying room charges to coordinating hall contract releases to creating and submitting facility work orders etc.)

  • Ensures the residence hall front desk environment is a welcoming yet professional space that provides special services to guests/residents

  • Oversees all summer billing and related accounting

  • Supervises, trains, schedules and oversees related staff (5-6 direct reports, up to 25 desk personnel in the academic year, and up to 75 desk personnel during the summer)

  • Manages the desk schedules and supervision of desk clerks

  • Coordinates and facilitates transitional periods around occupancy

  • Ensures a safe and secure environment for guests/residents

  • Manages the transitional summer periods along with the daily conference turnover

  • Cross-trained to provide support as needed during the academic year at a residence hall front desk

  • Verifies housing application eligibility for residence halls and apartments

  • And actively participates as part of the team while performing other duties in support of the department’s mission

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative experience in a busy office setting successfully managing multiple priorities or an equivalent combination of relevant education and experience.

  • Proficient experience using computers and various software packages.

  • Leadership/Supervisory experience coordinating and directing the work of others.

  • Customer service experience dealing effectively and diplomatically with a variety of people that may include handling difficult customer service situations.

  • Bachelor’s Degree

  • Experience working in a database environment.

  • Demonstrated skills managing through stressful situations.
