Position Details

General Statement

University Business Services ( UBS ) provides accounting and business services for the instructional, research, and administrative components of Montana State University. As part of the UBS team, the Student Accounts Office assists students in meeting their financial obligation to the University.

Under the supervision of the Director of Student Accounts, the person in this position performs a variety of customer service, analytical, accounting, and administrative duties in support of the Loan Service Center.

Duties and Responsibilities

  • Servicing and maintaining the Perkins and Health Professional loans from the time borrowers leave MSU until the loans are paid in full.

  • Approving cancellations and deferments of loans.

  • Following due diligence requirements of the U.S. Department of Education and the U.S. Department of Health and Human Services in the collection of loans.

  • Responding to borrowers’ questions by phone, letter or direct contact.

  • Taking payments and posting to the loan servicer’s system.

  • Assigning accounts to collection companies and the U.S. Department of Education.

  • Negotiating repayment agreements.

  • Performing reconciliation of loan accounts between the Banner system general ledger and the loan servicer’s detail system on a monthly basis, and processing monthly journal entries.

  • Ensure compliance with U.S Department of Education repayment notification requirements.

  • Reconcile monthly student refund checks which have stale dated.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree in Business or related field and progressively responsible administrative experience which includes record keeping duties and providing customer service to the public or an equivalent combination of relevant education and experience.

  • Demonstrated experience managing, monitoring and reconciling fiscal records.

  • Demonstrated experience providing customer service in an office or professional setting.

  • Demonstrated experience using spreadsheet, word processing, and e-mail software. Experience with systems and various software packages.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Relevant knowledge of state and university business procedures and Ellucian Banner software.

  • Relevant knowledge of student financial aid or federal rules and regulations governing student loans OR experience with other federal or state compliance procedures.

  • Demonstrated experience with Microsoft Office Excel, Word, and Outlook are preferred.

  • Represent the University Business Services Office and its programs to others in a professional and courteous manner.
