Montana Tech Program Assistant in Butte, Montana

Program Assistant (Part - Time - 19 hours per week)

$13.00/ Hour

  • Schedules and dispatches vehicles to users

  • Makes a recommendation yearly for replacement of motor pool vehicles

  • Maintains usage records and bills accordingly

  • Reconciles each vehicles fuel usage monthly

  • Responsible for record maintenance and scheduling maintenance & repairs of vehicles

  • Responsible for filing accident reports with State Risk Management

  • Responsible for purchasing parts, supplies and equipment worth $5,000 or less and issue purchase orders

  • Ordering supplies for office, custodial, and all facilities supplies.

  • Answer Facilities office incoming calls and takes work order requests using the work order system

  • Supervises student office workers

  • Manage personnel files – works with Human Resources

  • Radio dispatcher for emergency situations, such as leaks or backed up drains etc.

  • Serve as a backup for payroll entry tasks.

  • Runs standard reports as well as ad hoc reports for Director

  • Deal with complaints, customer relations and vendors

  • Job coach for workforce development program that consists of one facilities worker

  • Liaison with vendors.

  • In conjunction with locksmith, manages and maintains key data program, access requests and records.

  • Become a subject matter expert on the FAMIS computerized work order system.

  • Performs department inventory counts and year end reports for business office.

  • Perform other duties as assigned.


  • Excellent organizational and communication skills. Ability to establish and maintain effective working relationships with a variety of university guests, students, and personnel.

  • Demonstrated ability to maintain a variety of records and prepare reports using computerized and manual systems.

  • Must possess a valid driver’s license with a good driving record.

  • High School Diploma or GED equivalent

  • Knowledge of electronic calendaring programs (e.g., Microsoft Outlook), for scheduling appointments and setting reminders.

  • Ability to manage and prioritize multiple assignments.

  • Ability to identify information, materials, and resources needed to complete a project or assignment.

  • Knowledge of office management principles, methods, and procedures to complete work assignments.

  • Ability to be flexible in adapting to changes in priorities, assignments, and other interruptions, which may impact pre-established timelines and courses of action for completing projects and assignments.

  • Ability to act as a liaison on behalf of the Director when interacting with management, staff, internal and external stakeholders to provide program specific information, answer questions, and address issues/problems raised.


  • Experience in higher education facilities or multi-building campus environments.

  • Extensive experience with computerized work order systems.

  • Knowledge of State Purchasing Policies and Regulations
