Job Description

Responsible for secretarial and clerical duties necessary to maintain high quality and efficient daily operations of the Clinical Laboratory. The Medical Secretary I serve as receptionist for the department, greeting and assisting patients. Works cooperatively with patients and others to maintain positive public and departmental relations. Answers telephone and directs inquires to appropriate departments and also assumes responsibility for a variety of clerical and secretarial duties associated with all phases of activity in the Laboratory. This position requires the responsibility for the maintenance of patient confidentiality within corporate guidelines when answering inquiries regarding patient care.



Shows proper behavior while working with patients, especially outpatients when obtaining necessary information about lab testing

Is friendly and courteous to other professions from physicians to nursing personnel as well as within the laboratory.

Is cooperative and willing to help the phlebotomists whenever necessary, (not to include drawing blood).

Makes good decisions regarding directing lab requests to proper person and when transferring call, asks permission to leave the call to voice mail if there is no answer.

Distributes lab results to proper ordering physician location, transmits all requested fax results while monitoring incomplete faxes.

Makes proper use of suggestions and constructive criticisms made by others.

Performs accurate and complete registration of all specimens delivered to the lab while meeting acceptable registration accuracy rates. Makes sure that all information fields are completed and accurate confirming insurance and address information is current. Completes scanning of all orders into Meditech.

Orders lab tests correctly as listed on physician’s order form and insuring appropriate diagnosis is included.

Monitor and review charges, and edit as needed.

Responsible for maintaining and updating all files.

Retrieves information as requested.

Responsible for calling and/or mailing copies of test results of outpatients to the attending physician.

Verifies the accuracy of invoices from outside reference laboratories.

Performs all aspects of patient care in an environment that optimizes patient safety and reduces the likelihood of medical/health care errors.

Responsible for giving appropriate instructions to outpatients having testing done according to policy and procedures for Clinical Laboratory test preparation requirements.

Greets public in professional manner at all times and directs outpatients to other service locations when possible

Maintains a good working relationship within the departments and with other departments and with physicians.

Has a working knowledge of medical terminology.

Opens, sorts, reviews and distributes mail.

Duplicates material using photocopy machine when needed.

Maintains supplies, orders as necessary.

Regularly reviews office procedures and implements revisions as appropriate.

Demonstrates the ability to deal with pressure to meet deadlines, to be accurate, and to handle constantly changing situations.

Demonstrates the ability to deal with a variety of people, deal with stressful situations, and handle conflict.


Education/Experience Requirements:

High school diploma or equivalent.

Completion of course in medical terminology or medical assistant, preferred.

Two years medical secretary experience preferred.

Language Skills:

Ability to read and communicate effectively in English.

Additional languages preferred.

Other Skills:

Basic computer knowledge, data entry and/or word processing required.

Typing, filing, and use of dictating/transcribing equipment.
