The role of the Events & Group Manager is to ensure the success of Resort Events by organizing and implementing events, while serving as the liaison for event musicians, artists and chefs from around the world. PRIMARY DUTIES AND RESPONSIBILITIES

  • Contribute to the communication, planning details, and coordination of all aspects of event planning; to include interdepartmental meetings appropriate memos, Banquet Event Orders (BEO), and Group/Event Profiles.

  • Assist departments with proper execution of menu development, activities & spa, transport, décor, rentals, and site planning.

  • Manage team on events from time of booking, remote and onsite planning, through execution of event, billing, and departure.

  • Prepare detailed Group/Event Profiles and BEOs for events that are comprehensive and issued no less than seven working days prior to the group arrival date.

  • Produce accurate Group/Event Profiles that documents all aspects of an event, to include menus, meeting set-ups, client profiles, rooming lists, transport details, dietary needs, décor needs, ty room drops and billing as well as other pertinent information applicable by department.

  • Assist in creating guest itineraries to ensure maximum value in their stay, while doing your best to accommodate all off-premises and on-property requests.

  • Ensure that events group have your direct contact information, and are clearly informed of all schedules, locations, and amenities.

  • Work with Director of Events & Catering, Marketing & Sales Department, and onsite management team to ensure the experience of the client and guest exceeds their expectations and create a personalized memorable experience.

  • Contact upcoming group/guests/vendor minimum sixty days prior to arrival.

  • Obtain appropriate approval of the Director Events & Catering for all purchases, rental or leasing of equipment or supportive requirements of events Group prior to and in advance of the actual date of use.

  • Corroborate with Events team that all resort reservation, and event information is accurately communicated to the guest and entered in Resort systems.

  • Complete all events as assigned.

  • Communicate and maintain timelines and priorities on every project.

  • Maintain and develop guest, client, and supplier relationships.

  • Manage operational and administrative functions to ensure specific projects are delivered efficiently.

  • Maintain up-to-date awareness of Resort information and amenities.

  • Aid in event committees as a lead role in coordinating in-house events.

  • Contribute to the Resort’s revenue potential by assessing/monitoring room rental, site fees, delivery/storage fees, menu upselling, transport & service fees and other revenue-generating factors in accordance with the sales contract and regarding Resort policies.

  • Keep Director of Events & Catering promptly and fully informed of all problems or unusual matters of significance coming to his/her attention so that prompt and corrective action can be taken when appropriate.

  • Assist in scheduling regular interdepartmental meetings following events, to assess successes and areas where improvements can be made for future events.

  • Understand each events function and train according to The Resort’s standards.

  • Keep up-to-date knowledge on all menu items including preparation, any allergens, and alternative preparations.

  • Work to continually improve guest satisfaction while assisting in the maintaining of the operating budget.

  • Improve service by communicating and assisting to understand and guest needs, providing guidance, feedback, and individual coaching when needed.

  • Submit future goals, operational improvements, and personnel management to Director of Events

  • Maintain flexible hours to accommodate guest and event’s needs, due to the cyclical nature of the hospitality industry; Position requires full availability including evenings, weekends, holidays or as needed.

    OTHER FUNCTIONS AND RESPONSIBILITIES

  • Display hospitality and professionalism to our guests and team members at all times, take pride in representing The Resort at Paws Up professionally with our guests and assure that all transactions with guests are handled in a legal, ethical, and confidential manner.

  • Maintain a favorable working relationship with all Resort team members to foster and promote a positive working environment.

  • Maintain a clean and neat appearance at all times.

  • Perform work in a safe and high-quality manner.

    KNOWLEDGE, SKILLS AND ABILITIES

  • Associates or bachelor’s degree in Hospitality or Business field; 6 years’ experience in similar work experience/training

  • 4+ years’ experience as an Event or Special Events/Groups Manager

  • Knowledge of world class hospitality and service management

  • Proven ability to lead and manage a team

  • Valid State Driver’s License
