Brief Position Overview

This position supports the mission of the University by providing services that contribute to the increase in overall student enrollment as well as promoting consistency and connection with students, staff and faculty. This person will manage the day to day office functions of the Enrollment Management Offices in a way that recruits and retains the best fit students for the University. This position coordinates all campus visitors each year and is often the first person that prospective students see as they arrive at Northern. This position also serves as the office manager for Enrollment Management including Recruiting and provides support for the Vice Chancellor of Enrollment Management and for Dean of Students.

General Statement

This position supports the mission of the University by providing services that contribute to the increase in overall student enrollment as well as promoting consistency and connection with students, staff and faculty. This person will manage the day to day office functions of the Enrollment Management Offices in a way that recruits and retains the best fit students for the University. This position coordinates all campus visitors each year and is often the first person that prospective students see as they arrive at Northern. This position also serves as the office manager for Enrollment Management including Recruiting and provides support for the Vice Chancellor of Enrollment Management and for Dean of Students.

The Front Desk Manager role requires high attention to detail and organization in support department process. Working collaboratively with the Vice Chancellor of Enrollment Management, Assistant Director of Recruiting and Admissions Specialists, Accessibility Coordinator, and the Social Media and Communication Specialist. The Office Coordinator will be responsible for a number of administrative duties as it pertains to the meeting the University’s enrollment goals.

Duties and Responsibilities

As the front desk manager in a fast-paced environment with high expectations, the person in this position performs a variety of duties in support of Enrollment Management.

Duties include:

  1. Scheduling appointments and maintaining office calendars for the Executive Director and additional offices including Recruiting and Accessibility Services

  2. Overseeing scheduling of designated office space for all offices

  3. Making logistical arrangements, arranging for food, space, technology and other details related to event planning;

  4. Writing, proofing, and distributing letters, memos, and flyers for the Director and other team members as assigned;

  5. Influencing and implementing programming efforts for all offices in the Center (scheduling, answering program inquiries, information dissemination);

  6. Greeting, routing and assisting all students, parents, employers, faculty, and staff and the general public to the office;

  7. Providing visitors and clients with necessary information, applications and forms in order to initiate or follow-up on services;

  8. Maintaining and sending student files and paperwork;

  9. Tracking of State Vehicles and Budgets

  10. Performing other duties as assigned

    Required Qualifications – Experience, Education, Knowledge & Skills

    1. Associate Degree or equivalent higher education hours or equivalent business experience
  11. Progressively responsible administrative work experience in a busy office setting providing high-level administrative support, including calendar management.

  12. Demonstrated experience communicating in an effective, professional, positive, accurate manner while providing excellent customer service and appropriate responses to questions or inquiries in person, by phone, or through business correspondence in a fast-paced office environment.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

    1. Knowledge of MSU procedures and policies or previous experience working in a higher education setting.
  13. Bachelor’s Degree

  14. Experience using the SCT Banner system or relational database.

  15. Demonstrated experience in organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities in a busy office setting with constant interruptions and high traffic volume.

  16. Demonstrated experience using personal computers and various software programs such as electronic or online calendars, word processing, spreadsheets, database, presentation, email and internet. Microsoft Office Suite preferred (please list equipment and software used).

Title IX Coordinator

The Title IX Coordinator is responsible for coordinating the University’s compliance with federal and state discrimination and harassment laws, including Title IX. The Title IX Coordinator oversees compliance with the University’s Discrimination and Grievance Policy. Specifically, the Title IX Coordinator:
