Description:
Under the general supervision of the Development Services Supervisor, this position performs department clerical and administrative support tasks.

Requirements:
The above knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to graduation from high school and one (1) years’ experience as an administrative secretary or similar position. Associates degree in Office Technology or equivalent preferred.

Duties and Responsibilities:
-Performs office clerical and administrative support tasks;
-Provides customer service assistance to the Public;
-Performs reception and filing duties;
- Accepts and processes the intake of myriad application types for the Community Development and Planning Department, Environment Health Division, Public Works Department, and the City of Helena;
-Maintains document files, project logs and records;
- Prepares invoices, accepts payments and posts deposits;
-Processes claims;
--Develops reports;
Schedules meetings;
-Drafts correspondence;
-Performs data entry and conducts research;
-Creates and completes mailing lists and group mailings for projects;
-Provides administrative support for Community Development and Planning staff;
-Responds to information requests and inquiries from citizens and government agencies;
-Performs other duties as assigned.

Knowledge, Skills & Abilities

Examples of Knowledge:

-Knowledge of relevant sections of Montana Code Annotated;
-Planning Department policies and procedures;
-County policies and procedures;
-Office methods, practices and procedures;
-Business English, composition, spelling and grammar.

Examples of Skills and Abilities

-Ability to use common office machines;
-Operate computer systems and related software, including word processing and spreadsheet programs;
-Maintain records according to prescribed standards;
-Prepares documents according to prescribed standards;
-Organize resources and establish priorities;
-Follows verbal and written instructions;
-Communicate effectively verbally and in writing; establish working relationships with fellow employees, supervisors, and citizens.

Physical Demands

Duties are generally performed in an office environment where hazards and discomforts are controlled and modifiable. This position requires the ability to stand, bend at the waist, kneel, reach over the head, talk, hear, and see. Must be able to move or lift documents and materials weighing up to 30 pounds.
