Kalispell Regional Healthcare Practice Manager I and II - Regional Clinics in Helena, Montana

Overview

This position works closely with KRMG leadership regarding strategic planning, program development, continuous quality improvement and financial/budget reporting and monitoring. Responsible for directing, managing, and coordinating staff and activities to ensure optimum patient service. Responsible for workflow, performance, regulatory compliance, and the overall management of clinic operations to achieve exceptional care, superb service, and maximal physician/staff productivity. Responsible for meeting practice financial and quality benchmarks and operational oversight of the practice outreach program programs.

MANAGEMENT JOB DUTIES

Strategic Execution

Drive organizational objectives by operationalizing the department effectively and efficiently. Proactively anticipate both the needs of KRH and the impact the department has on the organization’s success. Collect and analyze data, prepare options, present recommendations, and explain associated benefits and risks.

JOB SPECIFIC DUTIES

  1. *Manages and ensures the day-to-day operating needs of the practice including, but not limited to; patient services, staff concerns, facilities maintenance, marketing, physician clinic coordination/support, and financial functions.

  2. *Ensures optimum patient care services from initial contact to close of services. Works with leadership to respond to patient concerns, fosters an environment of immediate service recovery and transparency for patient billing, questions and issues. Drives culture to improve patient experience, service and access.

  3. *Establishes processes in collaboration with leadership to ensure all practice employees are properly trained for their positions and develops cross training opportunities as warranted. Maintains up to date documentation of staff training and annual skills assessments. Ensures that all continuing and required organizational education is up to date for clinic employees. Holds monthly staff meetings in collaboration with leadership, which allows for addressing clinic wide issues, transition of care and continuum of care issues involving staff in seeking solutions to practice problems, and provides information regarding corporate issues.

  4. *Provides input into the budget process for the practice and is responsible for ensuring that the clinic budget projections are reasonable and defensible.Operates within the context of the established budget. Maximizes opportunities to meet and exceed budget guidelines.Monitors, provides statistical reporting and implements changes necessary to comply with budget, maximizes revenues, productivity and efficiencies and contain expenses. Develops clear goals to address variances to the budget.

  5. *Works closely with the finance department and revenue cycle to support the timely, accurate documentation and response to revenue cycle requests.

  6. *Monitors and ensures compliance with all required legal requirements and governmental reporting regulations. Directs preparation of information requested and monitors clinic practices for exposure.

  7. *Works collaboratively with leadership to support the activities and needs of the practice physicians and providers by providing appropriate resources, scheduling, recruiting, compensation and adherence to contractual obligations. Ensures that schedules are maintained an in alignment with contractual obligations of the providers.

  8. *In collaboration with KRMG Outreach Leadership, oversees practice outreach activities and processes. Ensures that all outreach commitments are appropriately met and provides oversight of outreach activities and productivity.

  9. *Ensures all business functions are operative and all processes and procedures are effectively and efficiently in place and are aligned with KRH policies and procedures. Enthusiastically embraces change. Reviews processes and makes recommendations for improvement. Creates goals in collaboration with assigned leadership for practice operations and ensures that these goals are in line with organizational goals.

Qualifications

  1. Bachelor’s degree in healthcare or business related field preferred. Other combinations of education and experience equivalent to Bachelor’s degree may be considered.

  2. Minimum of three (3) years’ leadership experience required. Experience in a physician practice or related healthcare leadership preferred.

  3. Strong business financial skills. Demonstrated financial and budgetary experience.

  4. Proven ability to take initiative, exercise independent judgment, and proactively problem-solve. Experience maintaining harmonious working relationships and addressing complex and sensitive issues.

  5. Skill in researching, preparing, interpreting and presenting comprehensive reports and spreadsheets.

  6. Advanced knowledge of computer systems including Excel required. Experience in medical software and applications preferred. Possess ability to learn other software as needed.

  7. Knowledge of government and reimbursement regulations and requirements and HIPAA guidelines.

  8. Knowledge of health care administration practices.
