ESSENTIAL DUTIESServes as the primary resource contact for Continuing Education and one of campus’ primary points of contact for students, faculty, staff, and community member; registers students for classes, monitors enrollments; responds to and resolves related questions, problems and general inquiries with quality customer service skills.Conveys positive and welcoming messaging, and efficient and accurate responses to ensure excellent customer service standards.Performs accurate data input into registration system to establish and update registration and student records; maintains electronic files and reports; updates information according to policy and procedures.Provides program support for continuing education areas and staff.Works closely and cooperatively with instructors regarding enrollment, rosters, evaluations, class needs, online educational programs, and other related services; prepares reports.Assists with public relations activities, mailings, student recruitment and retention and public outreach; assists with planning and production of semester schedules and creating schedule in student management systemPrepares invoices, facilitates accounts receivable, and ensures accurate transmittal of fees and tuition.Administers Ed-2-Go registration, accounts payable and receivable.Ensures work area is safe, properly maintained, organized and clean.Participates actively and with initiative in continuous improvement efforts to provide efficient and quality services.Creates and maintains a collaborative and collegial environment with colleagues and maintains effective working relationships.Establishes and initiates effective and timely communications for department and supervisor to assure sharing of interdepartmental information.Works closely and cooperatively with campus departments and related agencies on programmatic, financial, and compliance matters.Cross trains to perform other departmental and team functions; backfills as necessary.Performs other related duties as assigned.Reports to Director of Continuing Education.MINIMUM QUALIFICATIONSHigh School degree or equivalent AND one year of related experiencePREFERRED QUALIFICATIONSWork experience in an educational environment.Knowledge and experience with student or client resource management software.KNOWLEDGE, SKILLS, AND ABILITIESWorking knowledge, skill, and ability to operate computer applications and student management information systems.Skill in taking initiative, being proactive, critical thinking, problem analysis and resolution.Ability to work independently.Demonstrated professional communication, diplomacy, customer service, and interpersonal skills.Demonstrated ability to multi-task and perform administrative tasks effectively with frequent interruptions.Working knowledge of general office practices and procedures.Ability and willingness to serve as a representative for the College by interacting appropriately with the public, students, and community.Ability to work within policies and procedures of FVCC.Ability to maintain effective and positive professional relationships.Ability to follow and issue directions. Ability to work effectively with people from a variety of culturally diverse backgrounds.Ability to maintain regular and acceptable attendance levels.Ability to maintain a high level of confidentiality.Ability to pass a criminal background check.Ability to respond in the event of an emergency.This is a Medium Duty job, according to the Selected Characteristics of Occupations Defined in the Revised Dictionary of Occupational Titles, U.S. Department of Labor and Industry.
