Kalispell Regional Healthcare Procurement Specialist - Materials Mgmt in Kalispell, Montana

Overview

Promotes the efficient operations of Materials Management through timely processing of purchase requests. Assists the organization in cost containment measures through utilization of prudent purchasing philosophies, effective communication with vendors, organizational departments and the Materials Management Information System (MMIS).

Responsibilities

  1. *Coordinates with Distribution Clerks and Materials Manager to effectively set minimum and maximum levels for stock items. Utilizes MMIS data to support and ensure optimal on hand quantities.

  2. *Promotes Group Purchasing Organization (GPO) contracts where available and applicable. Obtains competitive quotes for goods and services in the absence of GPO contracts.

  3. *Researches purchase requests to ensure the most appropriate and cost effective products are procured. Works with end users to facilitate product selection.

  4. *Follows up on vendor back orders and effectively communicates to end user departments any delays/product substitutions.

  5. *Creates Purchase Orders through MMIS computerized processes or manually, and places orders with vendors via EDI, FAX, phone, or email.

  6. *Coordinates with assigned KRH departments supply chain requests/purchases. Facilitates Item Request Template creation/management with end users.

  7. *Works with Finance to resolve invoice discrepancies.

  8. *Actively reviews Accrual Aging Report and keeps updated.

  9. *Coordinates with vendors and Materials Management operations personnel in the process for returning damaged or unwanted products, creating applicable Return type Purchase Order(s) in the MMIS.

  10. *Maintains awareness and tracks short-term and long-term purchasing trends to improve supply chain efficiencies.

  11. *Tracks and reports monthly all savings/cost avoidance achieved.

Qualifications

  1. Post high school education or vocational training in healthcare preferred. Other combinations of education and experience may be considered.

  2. Minimum of three (3) years purchasing experience preferred, preferably in a healthcare setting.

  3. Possess ability to type/10 key and experience/training with computer use.

  4. Excellent communication skills, both verbal and written, required. Possess ability to read and interpret documents such as Purchasing Agreements and simple Contracts required.

  5. Knowledge of medical products and commodities preferred.

  6. Must possess mathematical skills to include: adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, fractions, decimals, and calculate percentage changes in price increases/decreases.

  7. Demonstrated ability to work independently and take initiative. Ability to set priorities and use good judgment.
