The job description does not constitute an employment agreement between the employer and employee and is subject to change by the employer as the needs of the employer change.Job Title: Window Clerk Job Code: 12440Department: County Justice Court Reports to: Office AdministratorPay Grade: Stnd 12FLSA Status: 1Non-Exempt 0 Exempt Department Overview: The mission of the Flathead County Justice Court is to provide the citizens of the County an open, fair, efficient, and independent judiciary for the advancement of justice under the law as prescribed by Montana Statute.Job Summary: This position provides substantial direct public service, requiring superior customer service skills and a great deal of diplomacy and tact under stressful conditions. The Window Clerk also serves as support staff for the Court Clerks. This position requires a basic working knowledge of Microsoft Word and Excel, and the ability to learn other personal computer software applications and telephone systems in use by the court. The ability to learn procedures of assigned work quickly and execute the duties accurately is critical to the operation of the court and an essential function of the window clerk.Essential Functions (Major Duties or Responsibilities): These duties are the essential functions and are not all-inclusive of all duties that the incumbent performs.•File documents in folders.•Assist with handing out Orders of Protection and collecting petitions at the window. Answer general questions from the public and provide guidance about resources available to persons seeking an order of protection, as well as direct the public to the appropriate agencies involved with orders of protection.•Process all monetary transactions efficiently in accordance with established court guidelines. This includes but is not limited to; collecting and processing all monies received through fines, fees, bonds, and restitution; disbursing funds for restitution and bonds; and preparing daily bank deposits. •Provide professional, courteous customer service to the citizens of the County by greeting and assisting the public in a professional manner that reflects the proper respect and impartiality of the judicial system. Maintain strict confidentiality of information. Keep informed of legislative changes necessary to assist the public. •Check in case parties for hearings.•Assist with data entry of Jury Questionnaires and mailing of Juror summons. •Sort, stamp, fold, seal, and mail documents as needed. •Pick up and sort mail from off-site locations daily. •Enter case file numbers into Excel spreadsheet and prepare boxes to be sent to off-site storage. •Retrieve old files from on-site storage, and return them as needed. •Answer phones and direct calls or answer basic caller questions. •Complete with accuracy and efficiency the administrative functions of the office to implement County legal processes in accordance with state laws.
