BOYS .and. GIRLS CLUB Administrative Assistant - Ronan in RONAN, Montana

Youth club in is seeking an Administrative Assistant in their Ronan Clubhouse.Primary Functions: Provide regular clerical and administrative support to the Executive Director, Director of Operations and Unit Director. Prepares reports, assists with payroll, answers telephones, maintains electronic and hard copy files, participates in programming and runs the front desk when members are present. This person assists in administrative components to resource development and maintenance.KEY ROLES (Essential Job Responsibilities):1. Create an environment that facilitates the achievement of Youth Development Outcomes (Academic Success, Good Character and Citizenship and Healthy Lifestyles)-Promote and stimulate program participation-Provide guidance and role modeling to members-Assist with homework assignments and mentor students in reading, spelling, and math-Provide assistance in implementing programs from BGCA (Boys .and. Girls Club of America) or other organizations2. Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor3. Answers telephones, providing general information, referring callers to other staff or taking messages as necessary4. Maintains electronic and hard copy filing systems, specifically Visions Member Tracking, making sure they are accurate and timely and facilitate easy retrieval of information5. Monitor office supply inventory and notify supervisor when supplies need to be ordered6. May be responsible for managing inventory of office equipment and service contracts, performing routine maintenance activities and contacting service representatives as needed.7. Serves as Club Receptionist, greeting all members and visitors and maintaining attendance and visitor logs8. Monitor and log staff attendance and transmit attendance data to payroll9. Completes deposits and enters needed information into Donor Perfect10. Perform other related secretarial or administrative duties as requested11. Ensure a productive work environment by participating in weekly clubhouse staff meetings (may be outside of regular work hours)12. Must be available to work Monday through Friday 9:30 am to 5:30 pm; this is a .75 FTE positionAdditional Responsibilities:1. May participate in special programs and or events2. May be required to drive Club vanRELATIONSHIPS:Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.External: Maintains contact with members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisorSKILLS/KNOWLEDGE REQUIRED:-High school diploma or equivalent-One year of office clerical experience-Training in secretarial skills and use of common office equipment-Understanding of Microsoft Suite products-Typing/keyboarding skills of at least 50 wpm-Good written and verbal communication skills-Good organization and attention to detail-Strong customer relation skills-Able to maintain strict confidentiality-Ability to motivate youth and manage behavior problems-Mandatory CPR and First Aid Certifications-Valid State Drivers License for 21 and over AND the ability to qualify for Club's auto insurance coverage.PHYSICAL REQUIREMENT/WORK ENVIRONMENT-The Boys and Girls Club is a fast pace environment. You must be physically able to engage in games and activities that are children appropriate.
